$TXT Created by at CHY0035D.FO-BAYPINES.DOMAIN.EXT (KIDS) on Tuesday, 10/31/23 at 09:11 ============================================================================= Run Date: DEC 11, 2023 Designation: SD*5.3*859 Package : SD - SCHEDULING Priority: Mandatory Version : 5.3 SEQ #714 Status: Released Compliance Date: JAN 11, 2024 ============================================================================= Associated patches: (v)SD*5.3*832 <<= must be installed BEFORE `SD*5.3*859' (v)SD*5.3*848 <<= must be installed BEFORE `SD*5.3*859' (v)SD*5.3*856 <<= must be installed BEFORE `SD*5.3*859' Subject: FY24 STOP CODE UPDATE, APPOINTMENT AVAILABILITY, HARD ERROR FIXES Category: - Routine Description: ============ TeleHealth Management Platform (TMP) is implementing processes that will keep Veterans Health Information Systems and Technology Architecture (VistA) clinic and appointment data for telehealth clinics and appointments in sync with the TMP application. 1. TMP-2359 - Stop Code Update for FY 2024 (October 1 2023) Problem: Patch SD*5.3*856 will perform Stop Code maintenance in Scheduling in accordance with the MCAU FY24 (October 2023) updates. These changes need to be moved into the SD TELE HEALTH STOP CODE File (#40.6) Solution: This patch adds the newly updated stop codes 129 and 569 to the SD TELE HEALTH STOP CODE FILE (#40.6) so it can be assigned to Telehealth VistA clinics. This patch also removes stop codes 290, 291, 292, 293, 296, 297 and 573 from the SD TELE HEALTH STOP CODE FILE (#40.6) so they will no longer be assigned to Telehealth VistA clinics. The post-install routine SD53P859 will perform these tasks. This patch requires SD*5.3*856 as the description of Stop Codes 129 and 569 have been changed by this patch. 2. TMP-2460 - Fix hard error that occurs when using Clinic Inquiry Problem: In very specific circumstances, the Clinic Inquiry would Produce an error trap. If the special instructions met certain criteria, an error was produced. Solution: Corrected the code that displays special instructions. Initialized all clinic fields to prevent this error. 3. TMP-2503/INC28776065 - Fix SCH+20^SDHL7APU error Problem: It was reported that if the TMP scheduler is missing email address, VistA software generates an hard error when a new appointment is made in TMP. Solution: This patch prevents the hard error by updating the above routine. 4. TMP-2242/INC27021186 Default Provider Update is updating clinics that should not be updated. Problem: Certain clinics with designated stop codes should not be updated by the bulk default provider update. Solution: The provider, clinic and stop code options were corrected to stop these updates. 5. TMP-1989 Do not allow Provider updates on inactive clinics Problem: The current software allows Provider updates on inactive clinics. Solution: This patch updates the logic on the 'Provider Add/Edit' and the 'Default Provider Bulk Update' options not to allow user from editing Provider information if the associated clinic is currently inactive. 6. TMP-2276 Cancelation Reason is not being looked up correctly Problem: The TMP application is sending the cancelation reason to VistA, but VistA is not receiving it properly. Solution: Updated several routines to make sure it is received and recorded on the VistA appointment. 7. TMP-2251/INC26420223 User is trying to cancel an interfacility appointment made by TMP for a Return To Clinic (RTC) request with the VistA Scheduling Enhancements (VSE) Graphical User Interface (GUI) App. When trying to cancel the patient side appointment in VSE, an error dialog pops up saying "Multiple records may have been omitted". VSE then prevents the Appointment from being cancelled. Problem: VSE considers this a Multiple Return To Clinic (MRTC), which needs information about the child records to Cancel correctly. Issue is a Parent internal number (IEN) is populated in the SDEC APPT REQUEST file (#409.85) in the PARENT REQUEST field (#43.8) on the Patient VistA side. Solution: Stop defining the PARENT variable for TMP appointments, as this field is for VSE MRTC functionality. See post-install instructions for details on the post install routine SD53P859. 8. TMP-2278/INC26420223 Create clean-up routine for parent data Corrupted data was a bi-product of this error. Problem: A result of this error, the SDEC APPT REQUEST file had corrupted data in the PARENT REQUEST field (#43.8) Solution: Create a post install cleanup routine to find the corrupted Data and erase the PARENT REQUEST field. The post install will generate a Mailman message and send to the installer with the results of the corrected appointments. 9. TMP-2298/INC27475786 Error in SDHL7APT When sending a Cancel Appointment to VistA from TMP, the Cancel Reason field was null, this is a required field and caused the related undefined error. Problem: The null Cancel Reason caused the appointment type filed to be left undefined. Solution: Send back a Negative acknowledgement error text to TMP and quit gracefully. Enter message action (in IN basket): Ignore// Back-Out/Roll Back Plan: ------------------------ Back-out will be done only with the concurrence and participation of development team and appropriate VA site/region personnel. The decision to back-out or rollback software will be a joint decision between development team, VA site/region personnel and other appropriate VA personnel. Prior to installing an updated KIDS package, the site/region should have saved a backup of the routines in a mail message using the Backup a Transport Global [XPD BACKUP] menu option (this is done at time of install). The message containing the backed-up routines can be loaded with the "Xtract PackMan" function at the Message Action prompt. The Packman function "INSTALL/CHECK MESSAGE" is then used to install the backed up routines onto the VistA System. If the patch was backed up for the build, from the Kernel Installation and Distribution System Menu, select the Installation Menu. Select the Install Package(s) option and choose the patch (SD*5.3*859b) to install. The back-out plan is to restore the routines from the backup created. The Back-out Procedure can be verified by printing the first 2 lines of the routine contained in this patch using the option First Line Routine Print [XU FIRST LINE PRINT]. Once the routine contained in the SD*5.3*859 patch has been backed out, the first two lines of the routine will no longer contain the designation of this patch in the patch. To back out item 1, it is necessary to use FileMan to manually edit the stop codes in SD TELE HEALTH STOP CODE File (#40.6). Validation of Back-out Procedure -------------------------------- For item 1, the Back-out Procedure can be verified by confirming the values of the affected stop codes using FileMan. For items 2, 3, 4, 5, 6, 7 and 9 the Back-out Procedure can be verified by printing the first 2 lines of the routine contained in this patch using the option First Line Routine Print [XU FIRST LINE PRINT]. Once the routine has been restored, it will no longer display 859 on the second line. This is routine-only patch and can be backed out with the patch backup message. The post-install routine SD53P859 will add the new Stop Code 605 to the SD TELE HEALTH STOP CODE FILE (#40.6). This will need to be deleted manually in FileMan. For item 8, the data in the PARENT REQUEST field (#43) in the SDEC APPT REQUEST file (#409.85) will be modified by erasing the invalid pointer found in this field, which should not have been there for this non-MRTC appointment type. There is no rollback strategy required for this field being erased.
