I.E., Sites that have not installed this patch will not be able to receive data from sites that have installed this patch. Conversely, sites that have installed this patch will not be able to receive data from sites that have not installed this patch. To limit the window in which sites may not be able to share data, SITES SHOULD INSTALL THIS PATCH WITHIN 15 DAYS OF THE RELEASE DATE. I. Functional Description ====================== * Registration sends a mail bulletin to the Information Security Officer (ISO) when a sensitive patient is accessed. This message will be mailed to the ISO at the Last Site Treated (LST) when the query retrieves data from a sensitive patient record. * The Agent Orange Exposure Location at the LST will be returned to the Requesting Site (RS). * The Marital Status at the LST will be returned to the RS. * The Period of Service at the LST will be returned to the RS. * The user that last edited the Date of Death information at the LST will be included in the Date of Death mail message sent at the RS when a deceased patient is received from the LST. * The Enrollment Database development team discovered that an incomplete subset of address information is returned to the RS when a bad address is indicated at the LST. This patch modifies ROM so no address information is returned from the LST when a bad address exists at the LST. * The exception message sent to the MPI (when a patient returned from the MPI is not found at the LST) has been changed. After installation of the patch, the exception message will include station numbers from the LST and the RS. * DG*5.3*572 will not allow information to be returned to a RS from a LST if one site has DG*5.3*572 installed and the other site does not. * If the Registration Intake person at the RS does not have a valid Name, Access and Verify code, SSN (not pseudo), station name, and station number at the time the query initiated, VistA will prevent retrieval of patient information from the LST when the patient is flagged as sensitive, and will provide notification to the legacy user interface. II. Technical Description ===================== * File documentation has been added to the DG REGISTER ONCE FIELD DEFINITION file [#391.23] Data Dictionary. * New records are added to the DG REGISTER ONCE FIELD DEFINITION file [#391.23] to identify the following fields for return from the PATIENT file [#2] at the LST: AGENT ORANGE EXPOSURE LOCATION [#.3213] MARITAL STATUS [#.05] PERIOD OF SERVICE [#.323] PRIMARY ELIGIBILITY CODE [#.361] LAST EDITED BY [#.355] NOTE: The Primary Eligibility Code is returned from the LST so that Period of Service may be returned. The Primary Eligibility Code returned from the LST is overwritten by the Primary Eligibility Code returned by the Health Eligibility Center (HEC) upon completion of the HEC query. * The following PATIENT file [#2] fields are no longer transmitted from the LST when the BAD ADDRESS INDICATOR field [#.121] in the PATIENT file [#2] indicates a bad address: ADDRESS CHANGE DT/TM [#.118] ADDRESS CHANGE SOURCE [#.119] BAD ADDRESS INDICATOR [#.121] ADDRESS CHANGE SITE [#.12] The PA^DGRODEBR API has been modified to implement this design change. * This patch updates the Data Dictionary file and field descriptions for the DG REGISTER ONCE FIELD DEFINITION file [#391.23]. * The FIELD DESCRIPTION [#3] field in DG REGISTER ONCE FIELD DEFINITION file [#391.23] has been removed. * The exception message sent to the MPI (when a patient returned from the MPI is not found in the database at the LST) has been changed. The Exception message is now only generated when the ICN at the LST does not match that returned from the MPI database. * An entry in the DG SECURITY LOG file [#38.1] at the LST is made when a sensitive patient is accessed remotely as follows: + ROM uses the GET^XUESS01 API to return the following information from the NEW PERSON file [#200] at the RS. User DUZ User Name User SSN User Phone + ROM sends the indicated data to the LST in the User ID sequence on the QRF segment in the HL7 QRY message. + At the LST, ROM uses PUT^XUSSE01 to create a new entry or update an existing entry for the user in the NEW PERSON file [#200]. The remote users' entry in the LST NEW PERSON file will indicate the remote site name, institution number, and date/time of the access on the LST NEW PERSON entry for the remote user. + ROM creates an entry in the LST DG SECURITY LOG file [#38.1] and indicates the remote user in the DATE/TIME RECORD ACCESSED [#50] multiple. + The standard sensitive patient mail message is sent to the ISO at the LST. The message will now include the RS user's name. * This patch changes the format of data returned from the LST to the RS. ROM software released with DG*5.3*533 returns internally formatted data from the LST. Internally formatted data has the potential to create data integrity problems at the RS. Data integrity problems can occur if the internal values returned are not consistent with the respective internal values at the RS. This patch changes the format to external so data integrity problems are avoided. * The ORDER INDEX field [#5] has been added to the DG REGISTER ONCE FIELD DEFINITION file [#391.23]. This field defines the order which data returned from the LST is filed in the database at the RS. Installation Instructions: =================== This patch is distributed via PackMan. This patch may be loaded with users on the system. Because it affects Registration, you may want to install it during non-peak hours. The installation will take about 5 minutes. 1. From the Kernel Installation and Distribution System: select the Installation menu. 2. From this menu, you may elect to use the following options (when prompted for the INSTALL NAME, enter DG*5.3*572): (a) Backup a Transport Global - this option will create a backup message of any routines exported with the patch. It will NOT backup any other changes such as DDs or templates. (b) Compare Transport Global to Current System - this option will allow you to view all changes that will be made when the patch is installed. It compares all components of the patch (routines, DDs, templates, etc.). (c) Verify Checksums in Transport Global - this option will allow you to ensure the integrity of the routines that are in the transport global. (d) Print Transport Global - this option will allow you to view the components of the KIDS build. 3. Use the Install Package(s) option and select the package DG*5.3*572. 4. When prompted "Want KIDS to INHIBIT LOGONS during the install? YES//" respond NO 5. When prompted "Want to DISABLE Scheduled Options, Menu Options, and Protocols? YES//" respond YES. 6. When prompted to select the options you would like to place out of order, enter: DG REGISTER PATIENT (This will place DG REGISTER PATIENT option out of order during the installation.) 7. When prompted to select the protocols that you would like to place 'out of order', press Enter since no protocols need to be selected.
