Category: - Routine - Data Dictionary Description: ============ VistA patch SD*5.3*270, released on December 2, 2002, provided the functionality to transmit SD Electronic Wait List (EWL) data to the Austin Automation Center (AAC). Sites were instructed to set the SD WAIT LIST TRANS TO AAC option to run bi-monthly via Task Manager on the 1st and 15th of every month. All patients currently in the SD Wait List file (409.3) are transmitted. Transmissions include a message if no clinics or services are set up in the Wait List parameter files (SD WL Service/Specialty [#409.31] and SD WL Clinic Location [#409.32]). Another message is transmitted for clinics and services that are set up and have no patients currently waiting for that clinic or service. If there are no entries in the Wait List parameter files, the software will still transmit any entries in the Primary Care Management Module (PCMM) Wait list. Recently, questions have arisen about the transmission of the EWL Enrollee Status to Austin and its relative validity. Research conducted by members of the PCMM / EWL team found the algorithm used to retrieve the last treatment date from the Treating Facility List file (#391.91) needed a correction. The application used the last entry with a valid date, which is the last internal number. This patch will determine EWL enrollment status in a more accurate fashion. A change to the way the program utilizes the Treating Facility (TF) List file will be made. Rather than looking at the last TF List entry in the file, the program will look at all entries that provide care, look at all of the Date Last Treated fields for those true treating facilities, and determine which is indeed the latest date. The EWL Enrollee Status is static, and not dynamic in nature. This is a one-time determination that is made when the patient is placed on the Wait List. This functionality was introduced when the original patch for EWL (SD*5.3*263) was released in November 2002. An important fact to keep in mind is that the system determines the EWL Enrollee Status when the EWL entry is first created for the patient. This status is not updated, i.e., if a patient was placed on the Wait List in December of 2005 (and the system calculated his EWL Enrollee Status as Prior, for example) and then subsequently treated 3 months later, the status of "Prior" will not be updated. He was calculated as a "Prior" upon creation of the EWL entry in December of 2005.
